Basic Job Functions:

The Finance Admin I is responsible for providing financial information to management by compiling, analyzing and summarizing financial data and trends.  This position prepares journal entries, detailed reports and account reconciliations for use in maintaining accounting records ensuring proper accounting procedures are followed.

 

ESSENTIAL FUNCTIONS:

  • Assist management in the decision-making process by compiling and analyzing financial documents, such as invoices and checks, substantiating business transactions.
  • Code data for input to financial data processing system according to company procedures.
  • Prepare monthly vouchers, invoices, reports, and other records, review for accuracy and issue to customers for payment.
  • Review and ensure proper completion and submission of lien waivers according to internal procedures.
  • Verify and post details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
  • Ensure proper application and submission for all Credit & Debit Memos.
  • Substantiate financial transactions by performing audits.
  • Reconcile financial discrepancies by collecting and analyzing account information.
  • Maintain financial security by following internal controls.
  • Assist associates, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
  • Create meticulous notes on customer accounts and specific sales orders.
  • Provide customer driven focus and develop positive relationships with internal and external stakeholders.
  • Support Accounting Manager as required.

Minimum Qualifications:

  • Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Preferred Qualifications:

  • Demonstrated understanding of construction accounting procedures.
  • Knowledge and working experience with Microsoft Office Suite and SAP.
  • Experience working with individuals at all levels of the organization while demonstrating professional communication skills (written and verbal) including attention to detail and accuracy.
  • Strong organizational and analytical skills with proven ability to problem solve, troubleshoot, and manage multiple diverse projects.
  • Superb judgment and integrity, including excellent decision making skills and a bias to action.
  • Ability to maintain the highest level of confidentiality.
  • Effective time management skills.
  • Proper phone etiquette and knowledge of phone system.
  • Ability to read and interpret documents such as safety rules, operating and maintaining instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers and/or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. 
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
